Job Purpose:
To provide high-level executive, administrative, financial planning and coordination support to the Chief Technology & Digital Transformation by ensuring effective budget monitoring and reporting, efficient office and stakeholder management, timely preparation of reports and correspondence, proper documentation and records management, and coordinated planning of departmental resources, headcount and key technology workstreams to enable smooth execution of the department's strategic priorities.
Main Responsibilities:
Financial planning, Monitoring & Reporting
Review all administrative departmental budgets to actual reports on monthly basis identifying any areas of concern.
Monthly/ Quarterly budget meetings with all sections within the department.
Recommend the requisitions and check request verifying budget is sufficient and proper charge codes are identified
Work with managers in the department & Finance Department to complete yearly budget request and justifications both OPEX & CAPEX Budget for the financial year.
Review operational and financial records and reports and make recommendations for improvements; work with departments to compile data necessary to analyze and determine operational and financial efficiency.
Conduct research necessary to prepare forecasts of future financial / business conditions using multiple scenarios, review trends impacting Technology, Operations, and Key technology Projects.
Analyze budget performance to include a review of actual and budgeted expenses.
Conduct cost-benefit analyses as required to assist in making management decisions regarding benefits of current and proposed program proposals, capital budgets etc. create financial models using electronic spreadsheets.
Monitor budget performance. Develop policies for budget monitoring and control.
Prepare special management reports for EXCO on departmental & initiatives financials.Assist cost center managers in budget preparations and interpretations, providing explanations on specific budget items.
Coordinate and consolidate cross-department analytical reports and presentations on Technology & Digital Transformation portfolio for the Chiefs review.
Assist with compilations of routine and ad hoc reports as needed
Coordinate the performance management meeting, coordinate the scorecards for all departments, consolidate the scorecard and track the performance and commitments
AdministrativeAct as the first point of contact for inquiries from external and internal customers by representing the bank in a positive manner.
Assist the Chief Technology & Digital Transformation with scheduling meetings, coordinate interviews, appointments, and maintaining calendar; facilitate and act as the meetings secretary of departmental top management meetings.
Attend meetings, take minutes of all meetings and track the action list to closure, ensure all committed actions for all meetings are closed or updated before the next meeting.
Support Heads of Department in coordinating pipeline and work-flow.
Exercise discretion with the filing of documents, topics/subjects pertaining to all incoming and outgoing information for Chief Technology & Digital Transformation., budgeted, and executed.
Knowledge and Skills:
Experience at working both independently and in a team
Able to learn, understand and apply new technologies
Solid knowledge of standard office administrative practices and procedure
Strong written and oral communication skills
Excellent customer service knowledge and ability to impart positive customer & vendor relations
Demonstrated ability to communicate complex issues and concepts in a simple manner managing multiple tasks simultaneously with strong attention to detail
Demonstrated experience and ability to work effectively in a dynamic, collaborative and fast-paced atmosphere
Ability to manage complex and highly confidential information
A high degree of personal organization and self-management
Qualifications and Experience:
Bachelor Degree in Accounting/ Finance/ Information Systems or related field.
3 years' experience in managing ICT Budget and ICT administrative work related to SRM, HR, and Finance
