Job Overview

The Delegation of the European Union to Tanzania and the East African Community is seeking a highly organized and experienced Secretary to provide administrative and secretarial support within the Infrastructure Section.

The successful candidate will assist the Head of Section in managing office communications, meetings, documentation, correspondence, travel arrangements, and administrative operations while ensuring efficient workflow across the section.

Key Responsibilities

Secretarial Support

  • Manage office communications and daily workflows

  • Coordinate meetings, appointments, and calendars

  • Organize high-level meetings and prepare agendas

  • Take meeting minutes and follow up on action items

  • Arrange travel, accommodation, and mission logistics

  • Proofread official documents and correspondence

  • Manage office supplies and logistical requirements

Administrative Support

  • Coordinate filing and document management systems

  • Handle incoming and outgoing correspondence

  • Prepare briefing materials and reports

  • Monitor deadlines and administrative workflows

  • Coordinate meetings, leave records, and budget tracking

  • Support onboarding of new staff members

Qualifications

Applicants should possess one of the following:

  • Bachelor's Degree in Information & Records Management

OR

  • Bachelor's Degree in Secretarial Studies

  • Office Management

  • Business Administration

  • or an equivalent qualification.

Experience Required

Applicants must have:

  • Minimum 4 years of professional experience as:

    • Secretary

    • Personal Assistant

    • Administrative Assistant

    • Office Manager

    • or similar roles

Additionally:

  • At least 2 years of experience in filing and archiving

  • Experience managing official documents

Desirable:

  • Experience in diplomatic missions

  • International organizations

  • Development agencies

  • Knowledge of EU procedures

Required Skills

  • Excellent English and Kiswahili communication skills

  • Strong document management skills

  • Good knowledge of AI tools

  • Excellent Microsoft Office skills

  • Strong organizational and planning abilities

  • Ability to work under pressure

  • High integrity and confidentiality

Salary & Benefits

Starting salary: TZS 3,573,768 per month (depending on experience)
